Setting a notification for a failed payment 

We strongly recommend that anyone using a payment group that accepts recurring donations set up a notification so that you are sent an email when a donation fails. This way you can check whether the donor wishes to cancel the donation and you don't risk getting payments disputed which can be costly and time consuming. The banks are now automatically updating bank cards when they expire with Stripe who provide the payment processor, so payments that have previously failed, but not been cancelled in the web office are at danger of being restarted. Which could come as a shock to the donor and they will challenge the payment. There is a charge from our payment processor of £15 when a payment is disputed and if you challenge the dispute and fail there is an additional charge of £20 so it is worth keeping on top of these. The money from the donor is refunded from your future income and we would need to invoice you for the £20/£35 when we are charged this. 

To set a notification you need to go to the payment group in the web office, and on the first page under the 'Jobs' section there is an option to create a notification.

You then need to click on the option to create a new notification.

Then you will have a number of options to select from under the first dropdown. It's the payment failed option near the bottom you want to select in the first field.

Then you should select 'Send an email' in the second field. In the third field select the name of a user who will be responsible for dealing with this. You can only select from users who have payment group permissions as they will have the correct permissions to be able to access the donor's details and cancel the payment if required. Your final notification should look something like this...

You can set the same notification to go to several people by repeating the process, and also set notifications for all the other payment options if required but it's the payment failure one that is most important to prevent you from taking payments that should have been cancelled. This should be done on all payment groups that take recurring donations or subscriptions.
